Accuracy Results Tracking
The Gwinnett County Office of the Tax Commissioner is dedicated to our partnership with our customers, providing a tracking system for all dealer work submitted. Among the items tracked are:
- Number of title applications received
- Number of title applications processed
- Number of title applications returned
- Percentage of returns
- Processing time: number of calendar days from drop off to the completion of processing
- Turn-around time: number of calendar days from drop-off to pick-up
Dealer Training Classes
Working to increase knowledge in the registration and titling of motor vehicles, the DMF division provides a free half-day quarterly training course for dealership title clerks and tag/title service employees. Our classes are informative and beneficial to everyone involved. The classes are held quarterly in the Lawrenceville tag office training room. Dealer Newsletter
The DMF division produces a quarterly newsletter, Gwinnett Automobile Dealer Matters, that contains important information about our title processing activities as well as guidelines for title applications procedures, quarterly title application accuracy statistics, featured dealerships and quarterly award winners. Katherine Meyer Excellence Awards
Awards are presented each quarter to recognize and promote accuracy in title applications. Each quarter the following awards are presented, the platinum award for zero errors, the gold, bronze and silver awards to the top three dealers with the highest accuracy, and the partnership award for most improved. The winners receive recognition, in addition to being published in the Gwinnett Automobile Dealer Matters newsletter.
Dealerships, Tag and Title Services, Companies, IRP and Fleet customers are asked to be aware of the following:
- The Dealer, Mail & Fleet Branch can only process title/registrations for Gwinnett county dealerships or dealerships selling to a Gwinnett county resident.
- The Dealer, Mail & Fleet Branch can only process an application in which a dealership shows a direct interest in the vehicle. This includes being the seller, buyer, or lien holder.
- Ensure that all title and tag applications are completed electronically or by hand prior to bringing the documents to the tag office. If applications are completed by hand, all fields must be legible. Dealer, Mail & Fleet Branch staff will be unable to process any paperwork that is incomplete.
- Complete the dealer tracking form in its entirety. Batches not clearly marked “pickup” will be mailed out to the customer.
- When work is received, it is stamped with the current date and placed in order of the time and date in which it was received. Paperwork is processed in this same order.
- Once paperwork has been received, individual transactions cannot be pulled out for any reason.
- Make sure that all payments are for the correct amount. If not, applications will be returned, along with a request for verification of the transaction and the correct amount.
- All checks must be made payable to “Gwinnett County Tag Agent.” Unfortunately, our bank will not accept checks written using abbreviations. (Example: GCTO, GCTA, and GCMVD). Checks that are not made payable to “Gwinnett County Tag Agent” will be returned, along with the associated title applications and/or registration renewals.
- The Dealer, Mail & Fleet Branch is unable to accept personal checks or personal credit cards as payment for dealership transactions.
- The Dealer, Mail & Fleet Branch is unable to make change for any bills larger than $20.
- All employees processing or picking up work for a company, dealership or tag/title service are required to provide documentation that they are authorized to conduct business on behalf of the company, dealership or tag/title service.
- Unfortunately, the Dealer, Mail & Fleet Branch is unable to fax vehicle information to dealerships.
